A member asks what date they were baptized on, and nobody can answer for certain. This happens more often than most churches would like to admit. Here is how to record baptism, marriage and other milestones so the information is always available when it's needed.
Why these milestones usually get lost
Baptisms and weddings are usually recorded in physical minute books, paper certificates kept in a drawer, or simply in the memory of whoever officiated. None of these methods survive well through leadership changes, decades of a church's existence, or simple wear from time.
What milestones are worth recording digitally
- Baptism. Date, location, who officiated, and whether it was by immersion or another mode, relevant for inter-denominational recognition matters.
- Church wedding. Date, and whether it was preceded by pre-marital counseling, useful for couples' ministries and anniversaries.
- Ordination or commissioning. For deacons, elders or other formal roles, with date and who presided over the act.
Why this isn't just historical archiving
These records have immediate practical value: issuing a baptism certificate for a wedding application at another church, confirming length of membership for eligibility for a role, or simply answering with confidence when a member needs to prove one of these milestones for personal or legal reasons.
The problem of digitizing old records
Many churches have decades of paper minute books that were never digitized. The priority doesn't need to be digitizing everything at once, but rather ensuring that, from now on, every new milestone is recorded digitally, with retroactive digitization done gradually as capacity allows.
Who should be able to access this history
Information about spiritual milestones is sensitive and should have controlled access, typically visible to the member themselves and to direct pastoral leadership, not open to the whole administrative team without specific reason.
