Every church record accumulates, over time, a group of people who haven't shown up in years but are still listed as members. The uncomfortable question is always the same: archive, reach out one more time, or simply remove? Here is how to think about this clearly.
Why this group grows silently
Nobody actively decides to keep a member inactive for five years on the record, it simply happens through inertia, because removing feels final and nobody wants to be the person who "crosses someone off" the church. The result is a record increasingly disconnected from reality.
The three options, and when each one makes sense
- Reach out one more time. Makes sense when there's no record of a recent contact attempt, or when the last interaction suggests the person might just be going through a phase, not having given up.
- Archive. Appropriate when contact attempts have already been made with no response, but the church wants to preserve the person's full history, including the time they were active.
- Remove. Reserved for explicit data deletion requests, or situations where keeping the record no longer serves any pastoral or legal purpose.
Why archiving is different from removing
Archiving preserves the information but takes the person out of active counts and regular communication lists. Removing deletes permanently. Confusing these two actions is one of the most common causes of losing history that's later missed.
A simple process for deciding case by case
Define an inactivity period, for example eighteen months with no recorded interaction, as a trigger for review, not for automatic action. The review should always include a human contact attempt before any decision about archiving or removal.
What to do with those who respond to the contact
A response, even if it's "I'm not interested in continuing," should be respected and explicitly recorded, instead of the person staying indefinitely in the "inactive, pending decision" category.
