Separate bank accounts per fund: is it worth it?

After deciding to separate funds by purpose, the next practical question comes up: is it worth opening a physical bank account for each one? The answer isn't as simple as it first appears.

The case for separate accounts

A physical bank account per fund makes the separation visually obvious even without looking at the management system, and completely eliminates the risk of a system error mixing funds that should stay separate. For funds with strict legal requirements, like certain missions funds with specific tax implications, this physical separation may be required.

The case against multiple accounts

Every additional bank account brings maintenance costs, more bureaucracy around signatures and access, and more monthly reconciliations to do. For a small church, managing five or six different bank accounts can be more administrative complexity than real benefit.

When separate accounts actually pay off

  • A specific legal requirement. If local or denominational law requires physical separation for a certain type of fund.
  • Very high-volume funds. A building fund with millions in transactions might justify a dedicated account just for scale.
  • Different authorized signers. If a specific fund needs entirely different approvers from the others, a separate account simplifies access control.
